Inventory and stock

Parts, packaging and consumables, with reorder points and stock history.

What inventory covers

Inventory is everything that is not filament: inserts, magnets, screws, shipping boxes, tape, and any other part or consumable you keep on hand. Filament has its own page; finished products have their own stock on the Products page. Inventory items can be linked to a product's bill of materials so that orders consume them, and they can be added to a service line on an order or quote per unit. The Free plan holds 10 items and Pro 50; Farm is unlimited.

Adding an item

New item asks for a name, the quantity on hand, the unit price in your currency (for example 0.05 for five cents), an optional Low-stock threshold (your reorder point), an optional expiry date and notes. Leave the expiry date blank for items that do not expire. Import loads items from a CSV file.

Stock on hand and quick adjustments

Quantity on hand is what you have right now; decimals are allowed. Each row on the Inventory page has minus and plus buttons for one-off corrections, and the form lets you type any number. Orders that use the item through a bill of materials or a line's materials reduce the count automatically when saved, and give it back when the order is deleted; everything else (receiving a delivery, breakage) you adjust yourself.

Stock history: where changes to a count show

Every change to a stock count is kept, with its date and amount. Press History to see them, newest first:

  • at the top right of an inventory item's form,
  • at the top right of a filament spool's form (in grams),
  • next to each variant on a product's form.

The Stock history sheet names what each change was: Taken for ORD-0042 and Returned from ORD-0042 (with Open order), Used by or Received from a restock run, Taken for an order when the named spool ran out, a failed print, an API adjustment, what the item started with (Opening balance), stock moved between places, or Stock lowered by hand and Stock raised by hand for edits made on the form. It shows the latest 100 changes and the count right now.

Owners and admins can see who made each save under Settings → Activity. Reports → Filament consumption (Pro and Farm) adds up the grams of filament used per month.

Reorder points and low-stock alerts

Set a Low-stock threshold (your reorder point) to be warned before you run out. When the quantity falls to or below it the row shows Low, and at zero it shows Out; both raise a Low inventory notification on the bell and a warning button (a triangle with a count) by the page's buttons, which lists them. Leave the threshold blank for items that should never warn. An item with an expiry date raises an Inventory expiry notification as the date approaches and shows as expired once it passes.

Labels

Each item has a label button that downloads a QR label to stick on the bin or shelf. Scanning the code opens the item in FoxTrack (sign-in required), where you can adjust its quantity.

Deleting an item

Owners and admins delete an item from its form (Delete) or several at once from the list. An item that a product uses in its bill of materials cannot be deleted: that would change the product's cost and stop orders using it up. The form names those products; open each one, take the item out of its BOM, then delete the item. A bulk delete skips such items and says how many it kept.
