Reports and analytics

What each report shows, how the figures are worked out, and exporting them.

Who can see reports

Reports include revenue and customer spend, so only workspace owners and admins can open the page; members see a notice that Reports are for owners and admins. Reports also need a Pro or Farm plan. On Free the page says what Reports shows, with an Upgrade to Pro button and a sample with made-up numbers; it reads none of your data.

What reports are available

Every card on the Reports page is listed below with what it shows. Owed to you is always as of today; every other card follows the date range at the top.

  • Summary: revenue, expenses and net for the range.
  • Owed to you: today's unpaid invoices after payments and credit notes, the overdue part, the same money split by days since the invoice date (0 to 30, 31 to 60, 61 to 90, over 90), and the money received this month, tax included. The dashboard's Owed to you tile shows the same figures.
  • Revenue vs expenses: month by month. Expenses is the dashed line. The month in progress is drawn faded, with a hollow point, and labeled so far, so the start of a month does not look like a fall.
  • Job economics: sales, cost, margin and hours printed for each month's orders (see Job economics: cost, margin and hours printed).
  • Most popular products: ranked by quantity ordered. Order lines without a product are one row, Custom work. Order value is the lines' total on the order date, whichever revenue rule is on.
  • Biggest customers: customers ranked by total spend, including a customer whose only entry in the range is a credit note.
  • Filament consumption: grams used per month, from stock movements.
  • Expenses by category: what you spent in each category over the range, with the number of entries and a total that matches Summary Expenses. A category whose credits (vendor refunds) outweigh its costs shows as a credit.
  • Downtime by printer and Downtime by month: from maintenance log entries.
  • Printer use: one row per printer, from FoxTrack Bridge print history: hours printed, prints finished, prints failed and Busy, the share of the range the printer spent printing. A printer with no recorded print in the range has no row.

Each card explains when there is no data for the range yet.

Job economics: cost, margin and hours printed

Job economics answers what each month's orders cost you and what was left after. It covers the orders placed each month in a column that counts as revenue.

For each month the card shows their sales before shipping and tax, their cost, the margin (sales less cost, also as a percentage) and the hours printed. An order's cost is the cost saved on its lines: material, power, machine wear and labor, as the order form worked it out. An order whose lines carry no cost counts the material the stock history says it used instead, at today's spool and item prices.

Cost also takes in the marketplace fee of the order's sales channel (Settings → Sales channels), on the order total including shipping, at the fee the channel had when the order was made. Changing a fee leaves past months as they were, and sales stay what the customer paid. The card says how many orders had no cost either way, and how much filament came from spools with no price.

Hours printed are what FoxTrack Bridge recorded in the month when it recorded any, else the print hours on the order lines. The dashboard's Margin this month and Printers busy tiles show this month's figures. Printers busy is the hours printed over the hours your printers in use have had since the month began.

Filament used per month

The Filament consumption card on the Reports page shows the grams of filament used in each month of the range, worked out from the filament stock movements that saved orders and stock changes record. Refills, opening balances and stock moved between places are not counted as use. Pick Last month in the range control to see what last month's work used, or This year for the trend. What is left on each spool now is on the Filament page.

Date ranges

The range control at the top offers This month, Last month, Last 6 months (the default), This year and Last year, plus Custom…, which shows two month pickers, From and To. If From is later than To, the report reads the two months in order. Every card follows the same range, except Owed to you, which is always as of today. Reports only read what has been entered: orders in any status that counts as revenue (Pending and Printing count too, Cancelled does not), logged expenses, stock movements from saved orders and filament usage, and maintenance downtime.

How the figures are worked out

Most figures are plain sums of what you entered; only Revenue depends on a setting.

That setting is Revenue counts, under Settings → Reports. The line under the Reports title says which rule is on, for example Revenue: orders, by order date, with a Change under Settings link. The PDF prints the same line and the CSV has a Revenue counts row.

  • Orders (the default): revenue is the total of orders created in the range, excluding orders in board columns marked Exclude from revenue, plus Outstanding and Paid invoices issued in the range that have no order behind them (for example an invoice made straight from a quote). Those invoices count before tax, the same way orders do. An invoice made from an order is not counted a second time.
  • Payments received: each payment recorded on an invoice counts on the day it was received, before tax (its share of the invoice's total before tax), so a deposit counts in its month and the balance in its own. A refund comes off on the day it was paid back, and never touches an earlier month. An order with no invoice still counts by order date. An order that has an invoice counts once, through the payments on that invoice. Draft invoices count nothing. Credit notes count nothing on this rule: the refund, or the smaller payment, already says it.

On the Orders rule, an issued credit note takes its amount before tax back off revenue, and off that customer's spend, in the month of the credit note's own date; a void credit note takes nothing off.

The Orders count and Average order use orders only. Expenses are entries in the range, with credits subtracted. Net is revenue minus expenses. Product popularity counts ordered quantities, and customer spend follows the revenue rule per customer. Filament consumption sums grams from stock movements, and downtime sums hours from log entries. Everything is calculated on the server from stored records, so the numbers match what the dashboard shows for the same period.

Reports count days and months in your shop's time zone from Settings → General → Localization, so everyone who opens them sees the same totals. If no time zone is set, they use the time zone of the computer you are on, and the Summary card says so.

Exporting

Export CSV downloads the report figures for the selected range as a spreadsheet. Export PDF renders the same view, including your logo and the range, as a document to share with a partner or accountant. Both carry every card on the screen, Owed to you and Expenses by category included, and name the time zone. The PDF uses the number and date formats from Settings → General; the CSV writes plain numbers (288.00) and months as 2026-08 so a spreadsheet reads them as figures. While a card has failed to load, export waits: reload the page, then export.
