Team and workspaces
Inviting people, roles and seats.
Workspaces and members
A workspace is one shop's data, settings, team and plan. Everyone in it works on the same orders, stock and customers according to their role. Settings → Team lists the members with their email and role, the pending invite links, and the seat count for your plan. Only owners and admins can invite, change roles or remove people; members see the list read-only.
Inviting someone
Under Settings → Team, choose Admin or Member (only an owner can make an existing member Owner, from the members list), optionally type the person's email as a label, and press Create link. The link is the invitation: anyone who opens it while signed in joins the workspace, so share it carefully. It expires after 7 days and works once. Copy it from the list of pending invites at any time, or revoke it. When an owner or admin is removed, leaves, drops to member or deletes their account, every unused invite link of the workspace is revoked too, because that person could see them. Make new links if you still need them. The person needs a FoxTrack account first (sign up with email or Google), then opens the link.
Owner, admin and member roles
- Owner: everything, including Billing, Danger zone (clear data, delete the workspace) and changing other people's roles. A workspace always keeps at least one owner.
- Admin: everything an owner can do except the Danger zone and billing changes. Admins see Reports, the admin settings tabs (Activity, Integrations, Data, Developer), manage Statuses and priorities and AI settings, and can delete records from lists.
- Member: can work on every main page, creating and editing orders, quotes, invoices, customers, stock, printers, maintenance and expenses. Members cannot delete records from the list views, cannot open Reports, and see Settings read-only.
Changing a role, removing someone, leaving
On Settings → Team each member row has a role dropdown (owners and admins) and a Remove member button. Only an owner can pick Owner, and it asks first, because an owner can change anyone's role and delete the workspace. Your own row shows Leave workspace instead, whatever your role: a member can leave without asking an admin. Leaving or removing someone takes effect immediately; they no longer see the workspace, and only an owner or admin can invite them back.
Before you remove someone, the dialog lists the API keys and Bridge tokens they created. They stop working when the person goes (leaving, removal, an account delete, or a drop from owner or admin to member all do this), and there is no checkbox to keep them: make a new key or token if a shop integration still needs one. Webhook endpoints they created are listed by name and are switched off; turn one back on under Settings → Developer if you still need it. Making someone an owner does not move billing: the plan stays on the card of whoever bought it. The last owner cannot be demoted, removed or leave: hand ownership to someone else first. The person who pays for the plan cannot be removed, demoted or leave while it still renews: they cancel the plan under Settings → Billing first.
Seats and running out
The number of members a workspace can hold depends on its plan: Free allows 1 (just you), Pro 2 and Farm 10. The Team tab shows how many seats are used. At the limit, generating an invite is blocked until someone is removed or the plan is upgraded under Settings → Billing. A link made before the workspace filled up cannot be accepted either: the person who opens it is told the workspace is full and to ask you for a free seat.
